Card payments are processed directly by our payment providers, Stripe and PayPal, through their own secure systems. We receive only a confirmation of the transaction and limited details such as the last four digits of the card, the card type and the transaction reference.
Sensitive information. We do not seek to collect sensitive information (such as health or biometric information) and ask that you do not send it to us.
Dealing with us anonymously. You can deal with us anonymously or under a pseudonym for general product and technical enquiries. We will need your real details to process an order, arrange delivery, issue a tax invoice or handle a warranty claim.
3. How we collect personal information
We collect personal information:
- Directly from you, when you order, register an account, request a quote, subscribe to updates, complete a form, email us or call us
- Automatically, when you browse our website, through cookies and analytics tools
- From third parties, such as our payment providers confirming a transaction, or freight carriers confirming a delivery
Where it is reasonable and practicable, we collect personal information directly from you.
4. Why we collect and use your information
We use personal information to:
- Process, fulfil and deliver your orders, and to arrange freight
- Prepare quotes and respond to technical and product enquiries
- Create and manage your customer account, including order history
- Take payment and issue tax invoices, credit notes and refunds

If you choose not to provide the information we ask for, we may not be able to supply goods to you, process your order or respond to your enquiry.
5. Who we disclose your information to
We disclose personal information only where it is necessary to run our business. This includes:
- Payment providers — Stripe and PayPal, to process payments and manage refunds and chargebacks
- Freight and courier companies — including Australia Post, StarTrack and other carriers, so your order can be delivered
- Suppliers and manufacturers — where a product needs to be shipped direct, or where a warranty claim must be assessed by the manufacturer
- Our IT and hosting providers — including our website hosting, email, and customer database providers
- Analytics and marketing platforms — where you have consented to their use
- Professional advisers — accountants, auditors, insurers and lawyers, where reasonably required
- Government agencies, courts and regulators — where we are required or authorised by law
We do not sell, rent or trade your personal information.
6. Overseas disclosure
Some of the service providers we use store or process data outside Australia. This includes payment processing by Stripe and PayPal, and analytics services.
Based on our current providers, personal information may be disclosed to, or accessible from, the United States, Ireland and Singapore. If we engage a provider that stores or accesses information in another country, we will update this list.
Before disclosing personal information overseas, we take reasonable steps to ensure the recipient handles it in a way consistent with the Australian Privacy Principles, including through the terms of our agreements with them.
7. Marketing communications
We may send you information about products, technical updates, pricing and promotions where you have asked to receive it, or where you are an existing customer and the material relates to goods and services similar to those you have bought from us.
Every marketing email includes an unsubscribe link. You can also opt out at any time by emailing sales@justvalves.com.au or calling 1300 825 837. We will action your request within 5 working days, as required by the Spam Act 2003 (Cth).
Opting out of marketing does not stop us sending you transactional messages such as order confirmations, dispatch notifications, invoices or safety notices.
8. Cookies and website analytics
Our website uses cookies, which are small files stored on your device. We use them to:
- Keep items in your cart and keep you logged in to your account
- Remember your preferences
- Understand how visitors use our site so we can improve it
- Measure the performance of our advertising, where applicable
You can set your browser to refuse cookies or alert you when they are set. If you disable cookies, parts of the site including the cart and checkout may not work correctly.
Where we use third party analytics or advertising tools, those providers may set their own cookies and collect information about your browsing. Their handling of that information is governed by their own privacy policies.
9. How we hold and protect your information
Where your information is held. Your information is held in our website and order database, hosted on our behalf by a third party hosting provider, and in our email, accounting and customer management systems, which are also operated by third party providers. Our primary hosting is located in [AUSTRALIA / CONFIRM REGION]. Backups are held in [CONFIRM]. Some records are also held in hard copy at our Bibra Lake office. Where information is held by a provider on our behalf, we require them by contract to protect it and to use it only for the purposes we specify.
We take reasonable steps to protect personal information from misuse, interference, loss and unauthorised access, modification or disclosure. These steps include:
- Encrypted connections (SSL/TLS) across our website and checkout
- Restricting staff access to customer information on a need-to-know basis
- Password protection and access controls on our systems
- Using reputable, PCI DSS compliant payment providers so that card data never reaches our servers
- Regular software updates, backups and security monitoring of our website
No method of transmission or storage is completely secure. While we work hard to protect your information, we cannot guarantee absolute security.
If we experience a data breach that is likely to result in serious harm, we will notify affected individuals and the Office of the Australian Information Commissioner as required under the Notifiable Data Breaches scheme.
10. How long we keep your information
We keep personal information only for as long as we need it. Order, invoice and financial records are generally retained for at least seven years to meet our obligations under Australian tax law. Warranty and product traceability records may be kept for longer where a product has a long service life.
When information is no longer required and we are not legally obliged to keep it, we take reasonable steps to destroy it or de-identify it.
11. Accessing and correcting your information
You can ask us for a copy of the personal information we hold about you, and ask us to correct it if it is inaccurate, out of date or incomplete.
If you have an online account, you can view and update most of your details, including your addresses and contact information, by logging in to your account.
For anything else, contact us using the details in section 14. We will respond within a reasonable period, normally within 30 days. If we refuse a request, we will tell you why in writing.
There is no charge for making a request, and no charge at any stage for correcting your information. In some circumstances we may charge a reasonable, non-excessive fee for the cost of providing access to information, and we will tell you the amount before we proceed.
To protect your privacy, we may need to verify your identity before acting on a request.
12. Automated decision making
We do not currently use computer programs to make decisions about you that could significantly affect your rights or interests, and we do not use automated profiling to decide whether to supply goods to you or on what terms.
If this changes, we will update this policy to describe the kinds of personal information used, and the kinds of decisions made or substantially assisted by those programs, in line with our obligations under the Australian Privacy Principles.
13. Making a complaint
If you believe we have mishandled your personal information or breached the Australian Privacy Principles, please contact us first using the details below. Set out what happened and how you would like it resolved. We will acknowledge your complaint promptly and aim to respond within 30 days.
